JOURNAL USE REPORTS header



Q: When I access Web of Knowledge, I do not see Journal Use Reports and/or the Journal Upload Utility.

A: Please sign in with your email address and password. If you have registered and signed in and still you don’t see at least one of the products, please contact Technical Support. If you are signed in and see one of the two products, then you are only authorized for that tool at your institution. If you believe you should have access to both, please contact your administrator. Finally, if you are the administrator, please contact Customer Technical Support.


Q: How do I register to use Journal Use Reports?

A: Access to Journal Use Reports is available via the Administrative Tools section of the ISI Web of Knowledge. Authorized users must first register and sign into the ISI Web of Knowledge for the product to be visible. The primary contact at your institution has designated who is entitled to access Journal Use Reports and its associated functions.


Q: What formats for uploaded files are accepted for Holdings data files?

A: You can upload your institution's Holdings file to Journal Use Reports using any one of three different file types. They include:

  • .txt file (comma-delimited)
  • .csv file (comma-delimited)
  • .tab file (tab delimited)
  • .xls file (Microsoft® Excel)
  • .xml file

Q: What formats for uploaded files are accepted Vendor Usage data files?

A: You can upload your institution's Vendor Usage data files to Journal Use Reports using any one of three different file types. They include:

  • .txt file (comma-delimited)
  • .csv file (comma-delimited)
  • .tab file (tab delimited)
  • .xls file (Microsoft® Excel)
  • .xml file

All files must meet the COUNTER Code of Practice for Journals and Databases. All files must be either Release 1 or Release 2 compliant. For more information, go to the COUNTER Web site. Please see the Journal Use Reports Upload Utility – Vendor Usage Data help files for examples.


Q: I changed my Web of Knowledge password and can no longer access Journal Use Reports or the Journal Upload Utility

A: If you have changed your password and can no longer access Journal Upload Utility/Journal Use Reports, you will need to contact Customer Technical Support.


Q: Why after I have uploaded my files with the Journal Upload Utility are they not available in the Journal Use Reports?

A: The data uploads are processed once daily. After you upload your data, wait 24 hours. Then sign into Journal Use Reports and your uploaded data should now be available.


Q: I uploaded my holdings file today but realized that it contained errors. Can I upload the Holdings file again today?

A: You can only submit one holdings file per day. It you need to make changes, please upload the new file after 24 hours. You can, however, submit multiple vendor usage files on the same day.


Q: Why am I getting errors when I try to upload my vendor usage file?

A: Occasionally a vendor usage file has formatting errors that must be corrected before the file can be uploaded. Please see the Journal Use Reports Upload Utility – Vendor Usage Data help files for examples.


Q: I am receiving an upload error that says my file contains special characters and can not be processed. What do I do?

A: Many files that were initially created in a format other than plain text may contain special characters that the Journal Upload Utility can not interpret. Please check your file format prior to conversion and execute global find and replace operations to make adjustments to the file. Please check the notices file for additional information.


Q: Why does a holdings file have incorrect characters embedded in journal titles or titles that are not alphabetized correctly?

A: Files that start from a format other than plain text (ANSI) may include special characters that Journal Upload Utility cannot interpret. You may want to check the file formats prior to conversion and execute some global “Find and Replace” operations to make adjustments for a better appearance in Journal Use Reports.


Q: Why are the ISSNs losing leading zeros when I upload my holdings file to the Journal Upload Utility?

A: Some providers use extraneous invalid ISSN formatting to ensure handling ISSN data as text rather than as numbers. If the format detail is removed, Excel will interpret ISSNs as numbers and delete leading zeros. The file must first be saved to a text (.txt) file and then uploaded into the product.


Q: I have downloaded my vendor usage data to an Excel file. When I attempt to upload this file, it does not upload and I receive an error.

A: First, please consult the help files in the product to ensure that your Excel file is in the proper format. Also, check to see that the dates in the file are formatted correctly. They should be listed in the COUNTER compliant format, as MMM-YY, such as Jan-06. Did you open the file in Excel? When the file is opened, Excel automatically defaults to a date format that is invalid for the upload of counter-compliant data with the Journal Upload Utility. For example, the counter compliant date is in the form Jan-06. Often, when you open your vendor usage file in Excel, date data will default to a different date format. If this happens, you must edit it to appear in COUNTER compliant format prior to uploading the file into Journal Upload Utility. If you convert a .csv file containing journal data to .xls, Excel may change the date format. If this happens, you must change the date format to the COUNTER compliant format; otherwise, the file will not upload. Also, be aware that Excel files are generally larger than .txt and .csv files and will require more upload time.
